Buyer guide / Creator, seller and worker balances

How should a payout platform record earnings and failed payouts?

Keep a balance record for each payee and record each change separately: earnings, fees, refunds and payout results. Define how a failed payout affects the amount still owed, using the payment provider’s confirmed outcome.

Explain what the platform still owes

A platform that holds earnings until a payout date needs to answer a simple question for each payee: how did this balance arise? That answer becomes harder when a refund follows an earnings credit or a provider rejects a payout. A clear posting model preserves the distinction between earning money, instructing a payment and completing it.

The Ledger Rocket approach

Ledger Rocket templates turn supplied financial events into double-entry postings on configured accounts. Payee, payable and clearing positions can represent the chosen accounting treatment. Separate correcting events preserve the original record. Your payment integration supplies payout outcomes, while the account design states their effect on the balance.

Work through these cases

  • Trace one payee from opening balance through earnings, fees and a completed payout.
  • Follow a failed payout through the provider evidence and the resulting accounting treatment.
  • Include a refund after earnings have already been credited.

Discuss your flow

Choose a payee history with both a refund and a failed payout. Use it to agree the entries that explain the amount owed at each step.
