Follow the evidence across the payment
A payments institution holding client or merchant balances under its own authorisation needs to explain settlement across its providers. A cross-border payment can pass through several systems before the final bank entry arrives. The internal instruction tells you what should happen. The bank or processor record tells you what that system confirms. Keeping both records makes a delayed confirmation easier to explain and prevents the team from treating every open item as the same kind of break. Agree tolerances by currency and source evidence. Preserve the original amounts and give any residual difference an explicit accounting treatment.
